How does ORS:On handle products?

You have full control of your products, from the basics such as which category or categories they appear in to which shipping band each product, adding multiple images and much more in between.

How do I create a product?

  1. To add a new product click on your home page. Place your mouse over ‘Create ‘ on the admin bar at the top of the page.
  2. When you click on ‘Create a new product’ a page entitled ‘New product’ will open up.
  3. By clicking on each box (e.g. Product name, Product description), you can type in the relevant product information.
  4. The Category Manager allows you to allocate this product to one or more categories.  On the left you will see an ‘Available’ box which is a list of all the categories within the catalogue.
  5. Click on the category you would like the product to appear in. This will highlight it. Click on the single arrow pointing to the right. This will move the chosen category into the ‘Selected’ box. Repeat this for each category you would like the product to appear in.
  6. If you would like the product to appear in every category click on any of the categories in the ‘Available’ box then click on the double arrow pointing to the right. You will now see all of the categories in the ‘Selected’ box.
  7. You can choose the shipping band by clicking the arrows on the button directly underneath ‘Product shipping band’. Scroll up or down and click on the shipping band you want to allocate to this product. For more information on shipping bands please go to SHIPPING BANDS.
  8. To enter the Sku details click on each box and type in the relevant information.
  9. Once you have entered the product’s name and stock code, you then click on ‘Add stock inventory’ and type in the quantity that you want to allocate to this product.
  10. To enter the price, click on the ‘full price’ box highlighting the 0.0 and replace this with the actual price.
  11. You can add an offer price (if applicable) in the same way.
  12. To add a photo of your product, click on the ‘Browse’ button to the right of ‘Image’ in the Skus box. When you click on this it will take you to your computer where you can find the relevant image file.
  13. Go to the photo you would like, click on it to highlight it then click on “Open’. This will take you back to the ‘New product’ page where you will see the name of the image file beside ‘Image’.
  14. Repeat this for each photo you would like to upload. When you add more photos, they will appear as thumbnails (smaller boxes below the main product photo). They can be used to show your customer various angles or close-ups of the product. When you click on a thumbnail it enlarges.
  15. You have the choice to add another Sku. Additional Skus are relevant if you have a variation of the same product. For example, a ring in several sizes, or a pendant with a choice of stone colour. This additional Sku will appear in the dropdown menu to your customers. You can of course, add such products individually if you prefer. If you do add more Skus click on the ‘Add Sku’ button and repeat the instructions above.
  16. If you are happy with ALL the information you have entered please click the ‘Create’ button at the bottom of the page and your new product will be added and the catalogue updated.
  17. Click on the ‘Back’ button at the foot of the page if do not want to proceed. This will remove all the information you have entered and no changes will be made to your catalogue.


NOTE: When adding a photo the recommended image size is 1500 x 1500 pixels (exactly square) so that the image quality is maintained when the catalogue’s zoom tool is used to view detail. The required file format is jpeg.

How do I add a variation of a product like size or colour?

You can add a variation of a product by adding another SKU. A SKU (stock keeping unit) is a unique identifier for a specific product. For example, if you have a pendant, which comes in 3 different colours, it will have three different SKUs. With regards to your catalogue, you can display a product and it’s variations in the same product space. Additional SKUs of a specific product appear in the drop down menu to allow your customer to view the pendant in each colour. An individual photo/image can be assigned to each one.

You can add another Sku at any time, whether that be when you add a new product or at a later stage.

  1. Click on ‘Add Sku’, which is located at the foot of the page above the ‘Update’ button. This will open an identical Sku box. You can then enter the relevant information exactly as you would if you were adding a product.
  2. Type in the name of your product. This is the name that will be seen by your customers in the dropdown menu. It’s a good idea to include a descriptive word such as the colour to differentiate the various Skus.
  3. Type in the stock code.
  4. Type in the product quantity that you are allocating to your online stock in the ‘Add stock inventory’ box.
  5. If you wish you can add a minimum order quantity. This is designed for small monetary unit products. For example if a product is 0.10p you may want to allocate a minimum order quantity. This is entirely up to you. If you do not wish to do this leave the minimum order quantity as 1.
  6. To enter the price, click on the ‘Full price’ box, highlight the 0.0 and replace this with the actual price.
  7. You can add an offer price (if applicable) in the same way.
  8. To add a photo of your product, click on the ‘Browse’ button to the right of ‘Image’ in the Skus box. When you click on this it will take you your computer.
  9. Go to the photo you would like to use for the product. Click on the ‘Open’ button at the bottom right of the window. You will now see the name of the file to the right of the first ‘Browse‘ button within the Sku box on the ‘Editing product’ page.
  10. To accept the additional Sku and update the product, click on the ‘Update’ button under the Sku box.
  11. If do not want to proceed, click ‘Back’ at the foot of the page.
  12. Repeat this process for any additional Skus required.

How do I edit a product?

  1. Go through the catalogue to the product that you would like to edit.
  2. Click on [edit] beside name and price. This will open up the ‘Editing product’ page.
  3. By clicking on each box you can edit the name and description of the product.
  4. If you would like to move the product to a different category click on the Category within the ‘Selected’ box and use the single arrow pointing to the left to move the category into the ‘Available’ box. Then move the correct category from the ‘Available’ box into the ‘Selected’ box using the single arrow pointing to the right.  You can repeat this if you would like the product to appear in multiple categories. The product will automatically appear in the new category/categories you have chosen for it.
  5. You can alter the shipping band by clicking the arrows on the button directly underneath ‘Product shipping band’. Scroll up or down and click on the shipping band you want to allocate to this product.
  6. To change the sku name, click on the current name and drag you mouse over it to highlight it. Type in the new name.
  7. To change the stock code, click on the current code and drag you mouse over it to highlight it. Type in the new name.
  8. You will see the ‘Current stock inventory’ quantity underneath the stock code. If you want to allocate more stock to this product, click on the ‘Add stock inventory’ box and type in the quantity you want to add.
  9. To change the price, click on the current price and drag you mouse over it to highlight it. Type in the new price. Repeat to change the offer price (if applicable).
  10. To change the product photo you must remove the current photo and replace it with the new photo.  Click on the ‘delete?’ box to the right of the photo. This will place a tick in the box. Click the ‘Browse’ button below the current photo. When you click on this it will take you to your computer where you can find a new image.  Go to the photo you would like to use and click on ‘Open’. This action will hold the image until you confirm that you would like to create this new product (i.e. add it to your catalogue).
  11. If you are happy with ALL the information you have entered please click the ‘Update’ button at the bottom of the page and your product will be edited and the catalogue updated.

How do I delete a product?

Go to the product you would like to delete.  Click on (delete) underneath the product. A window will open to ask you, ‘Are you sure you want to delete this product? You cannot undo this.’ If you are absolutely sure that you would like to delete this product click the ‘OK’ button. If you at all unsure, click the ‘Cancel’ button and this will take you back to the product.

If you delete a product it will no longer appear in your catalogue but more importantly, if this product has been purchased, it will no longer appear in your orders page. This means that your online orders records will be permanently altered. If you wish to delete a product, please make sure that you print the order as a permanent record.

How do I add a product to more than one category?

  1. To add a product to more than one category go the product you would like to add to the multiple categories. You can either click on (edit) to the right of the product photo or once the product image had been clicked on to open the product, place your mouse over ‘Edit‘ on the admin bar at the top of the page and scroll down to ‘Edit this page’.
  2. The Category Manager allows you to allocate this product to one or more categories. On the left you will see an ‘Available’ box which is a list of all the categories within the catalogue.

How do I organise products?

You can organise your products, which means you control the order in which your products appear within a category. If you would like to change the order in which your products appear you can do so by following the instructions below.

  1. Go to the category or subcategory where you would like to reorder the products.
  2. Place your mouse over ‘Edit’ on the admin bar and select ‘Organise products’. This will open the ‘Organise products in (category name)’ page.
  3. Click on the chosen product and drag and drop it into its new position. To drag the product, place your mouse over the product name. Click on the product name and keep your finger on the mouse. Keeping your finger on the mouse, move the product up or down to the desired location and drop it by releasing your finger from the mouse.
  4. Go to the category where you have just organised the products. When this page opens you will see that the order of your products has now changed.
